College Guidelines on Hiring TAs, IAs, TFs and ASAs
None of the students in these categories should be allowed to start employment until they complete all necessary paperwork with their DBA.
All employment must tie into the student's specific degree objective.
TAs are masters or Ph.D students.
IAs are masters or Ph.D students.
TFs are only Ph.D. students.
Academic support assistants are undergraduate students.
TAs and TFs must be enrolled in 9 hours during long semesters and 6 hours in the summer.
ASAs need 12 hours in the fall and spring and 6 hours in the summer. The employing faculty, department chair, associate dean and college of business administrator must sign waivers. If cross disciplined, both colleges must sign.
Responsible Departments
For MBA students with no major defined, Dan Currie must approve.
For ASAs whose majors are undecided, Frank Kelley must approve. Classes must reflect ties to academic duties.
- The student assistant is employed on or before the official census date of the relevant term.
- Academic Support Assistant: Can only be undergraduate students employed by academic support programs ( whether in an academic or administrative unit) whose primary duties involve either of the following:
- Training or tutoring University of Houston students enrolled in academic degree programs, or
- Research activities under the direction and supervision of a faculty member.
The subject (s) tutored or research performed must be the area (s) of the student assistant's degree program; this must be certified by the dean or associate dean of the college of the student assistant's major.
Student assistants qualifying for these positions may include computing students whose primary job responsibilities involve teaching university students computing -related subjects and tutors in official university tutoring programs.
- The college administrator certifies that the applicant is employed in compliance with the policy in an approved job code and on the payroll at least .50 FTE. If the employee is performing work at least half time, his/her appointment must reflect at least .50 FTE.
- Dual employment not allowed by the college. Exceptions are filed through the Dean of Professional and Graduate Studies and must be prior approved. There may be other ramifications to exceeding the FTE limit and the student may not be eligible to the tuition fellowship.
- In case in which the student may be enrolled in one college and the student, parent, or spouse employed in another, the academic information must be certified by the appropriate academic signatories in the college in which the student is enrolled, the supervisor of the employing college or division, as well as college/division administrators of both areas. This may be a common situation and very important in the case of academic support assistants.
- Teaching assistants are those graduate students who do not have primary responsibility for teaching a course for credit and who perform under a faculty member's direct supervision. They must be in good standing and must be making satisfactory progress toward a degree.
- Academic support assistants are those graduate or undergraduate students employed by academic support programs (whether in an academic or administrative unit) whose primary duties involve either training or tutoring University of Houston students enrolled in academic degree programs or research activities under the direction and supervision of a faculty member in areas related to the students assistant's degree program.
- Students must be registered for a minimum of nine semester credit hours for each full long semester of the award. For summer, students must be registered for a minimum of six semester credit hours during any combination of summer sessions. Tuition for any additional credit hours in which a student enrolls over the minimum of nine ( or six) will be charged to the student who will be responsible for payment. (These credit hour minimums apply only to courses taken for graduate credit applicable toward the student's degree objective. They may include undergraduate courses taken for graduate credit and courses required as prerequisites for subsequent graduate courses.)
- Students must maintain the credit hour minimum registration throughout the semester. Those who drop classes or otherwise fail to maintain the minimum registration requirements, or who do not meet all of the criteria for eligibility, will have their fellowship revoked retroactively and will be billed for full tuition and designated tuition charges.
- GA employment must be related to the student's major field of study.
Time Limitations for Receipt of Tuition Fellowship
Students with a master's degree objective will be eligible for the Fellowship for up to two years (four long semesters). Students with a doctoral degree objective will be eligible for the Fellowship for up to three years (six long semesters) beyond a master's degree. Non-College Work Studies
Students hired as NCWS must have a student status at UH for every semester they work including the summer, but there is no minimum enrollment hours requirement. They can only work up to.50 FTE in Fall and Spring, but in Summer or Spring & Winter break they can have a full-time appointment. For overloads, they need a letter from their academic advisor stating that the extra work will not hinder their academic achievements. They are not eligible for tuition waivers or insurance.
Research Assistants
RAs are graudate students and must be enrolled in a minimum of 6 hours for Fall, Spring and Summer. Their summer insurance is not covered unless they have an assignment through the summer.
International Students
Any international student employee who needs to request a social secrity number should complete this form, which the hiring department should print on letterhead. More information on international student hiring can be found on the ISSSO website.
Student FTE
All students are considered fultime at .50 FTE, which translates to 20 hours per week. Dual employment is not allowed over .50 FTE unless prior approved by the Office of Graduate And Professional Studies.

Personal Accountability
Each graduate assistant (IA, TA or GA) must take personal responsibility for completing all tasks in a timely manner and alerting the head TA or the Instructor, as appropriate, immediately when issues or problems arise. In particular, one of the most important jobs is to return feedback and grades on assignments in a timely manner (i.e., 3-4 days within its submission).
Each graduate assistant will be held responsible for any use of his/her WebCt/Blackboard user ID and password. Therefore, as a precaution, everyone must frequently change their WebCt/Blackboard passwords. In no circumstances should anyone use his/her birthday for the password.
Communication is critical. Graduate assistants must communicate with the instructor regarding any problems that may arise which could prevent or otherwise impair the ability to perform his or her responsibilities.
Treatment of Students
- Conflicts of interest, favoritism, and bias – Each graduate assistant should avoid conflicts of interest with students and must show no favoritism toward any student. Conversely, graduate assistants should also remain unbiased toward any students who may be difficult or unusually time consuming. If a conflict of interest should arise, the instructor for the course should be made aware of the situation to help decide how it will be handled.
- Appearance of impropriety – Graduate assistants must avoid the appearance of impropriety at all times. For example, anyone using a TA/GA/IA office must leave the door cracked or fully open during office hours. In particular, the doors must remain open when a student is in the office.
- Protection of student information, exams, and grading keys
- You must protect your WebCT/Blackboard user name and password closely. You are obligated to keep a unique password and to change it often to prevent unauthorized use of your account.
- Graduate assistant offices must remain locked when there is no GA in the office.
- All information containing student information (such as HA numbers, name and grades) must be kept confidential.
- If any exam questions or answer keys are emailed, each graduate assistant promises to protect the confidential information. For example, the sender must not allow the email containing the confidential information to be forwarded to any other email address.
- If any written assignments are printed for ease of grading, they must be shredded immediately in a secure location.
- Graduate assistants shall not discuss individual student assignments or the grading process in general in the presence of anyone other than the course instructor or other involved graduate assistants.
Professional demeanor
Each graduate assistant should maintain a professional demeanor when interacting with students, answering e-mails and discussions, and providing feedback.
- We must address students properly, use professional language, and refrain from using comments which are derogatory or demeaning in our email and feedback.
- Any responses to student discussion board postings should also be appropriate and respectful.

Conversations regarding personal and professional matters of faculty/staff
It is imperative that the integrity of Bauer College information is maintained. Specifically, any unofficial conversation (written, verbal or otherwise) containing confidential information compromises its integrity. Failure to comply with the confidentiality requirements of this college will result in disciplinary action, up to and including dismissal from employment and/or enrollment with the University.
Insurance Stipends
Insurance stipends are paid to eligible student employees that are active in the system on the 1st of the month. Employees that began their employment later in the month (for example 1/16 for our spring hires) are not eligible for the stipend until the first of the following month. If employees terminate in the middle of the month, the insurance stipend is NOT pro-rated for the ½ month. They will receive the entire amount in that case.
Student Salaries
All incoming Ph.D. applicants who agree to take on the half-time responsibilities of Graduate Assistant will receive a base stipend of $2000 per month with an increase to $4000 for the second and third year. They will also receive a fellowship during the first two years and teaching compensation thereafter, plus a tuition waiver (less student-paid fees). There will be no increases beyond the third year. Salaries only increase on September 1st of a given year. If student is on leave for more than one long semester in the year, a pay increase will not be given on the following September 1st.
Graduate Student Salary Matrix
Undergraduate salaries for ASAs are set at minimum wage, due to the significant added benefit of tuition reductions. Undergraduate salaries for college work studies are governed by the limitations of the state or federal program their grants fall under. Non-College work studies are paid an hourly rate commensurate with the length of their employment and level of duties they perform.
