Preparing for the big day

Commencement is a celebration, a culmination of years of work towards your degree. There are several steps to complete before you can participate in Commencement. The following checklists will help you ensure you meet the requirements and deadlines.

Commencement Checklist for Master's or Doctoral Degree Candidates

Step 1: Eligibility deadlines

If you are receiving a Master's or Doctoral degree and wish to participate in Commencement, you need to have completed the appropriate paperwork on time. Please note there is a difference between filing for graduation and completing an graduate commencement form

  • September 19 - Last day for candidates who will earn a Master's Degree in fall 2008 to file online for graduation. (see filing graduation page)
  • October 10 - Last day for candidates to make reservations to walk in the fall commencement ceremony, to be eligible for the maximum number of guest tickets and to have their names listed in the commencement program (See step 5 for details). Due to Hurricane Ike the deadline to make reservations to walk has been extended to October 29.

Step 2: Update your personal information in PeopleSoft

Review your personal information in PeopleSoft at my.uh.edu, and update as appropriate - local and permanent address, phone and email.

Step 3: Ph.D. Candidates- Confirm your Dissertation Chair Attendance

If you are a Ph.D. candidate, you will be hooded on stage by your dissertation chair, so you need to contact them and let them know that you're planning to walk and confirm that they will be there to hood you. If your chair cannot attend, you may ask another member of your dissertation committee to hood you. The individual who will be hooding you must confirm their attendance and order their regalia via Mary Gould by October 19, 2008.

Step 4: Order your Cap and Gown, etc.

All graduates participating in the Commencement ceremony must wear academic regalia. The UH Bookstore will begin fitting students for their regalia on the following schedule.

  • September 30 thru October 3, 9:00 a.m. – 4:00 p.m. - Graduation Fair; In Store Regalia Orders
  • October 17, 2008 - Last day for online orders http://www.bncollege.com/
  • November 25 thru December 19, 2008- Pick up regalia from the bookstore.

Students may also order formal invitations through the bookstore.

Master Degree Candidates:

Orders placed after the deadline will not be guaranteed to arrive in time for commencement.

Rented Ph.D. caps and gowns will be available for pickup at the campus bookstore. All Doctoral gowns should be returned to bookstore representatives after the ceremony.

Ph.D. candidates will be hooded at Commencement. Mary Gould will provide the hoods. Hoods will be placed on stage for all Ph.D. candidates

Step 5: Confirm your intent to participate in Commencement

Not all students who graduate choose to walk in the Commencement ceremony. In order to ensure adequate seating for you and your guests, all eligible students who plan to attend must complete a graduate commencement form (see Graduate Commencement Form page). At the time that you do this, you will be able to order your Commencement tickets and let us know how you wish to have your name read at the ceremony. Filing for graduation does not equate to signing up to participate in the commencement ceremony. Please confirm your participation in the ceremony by filling out the online form

Step 6: Order and pick up your Commencement tickets

Candidates must order guest tickets online September 19 – October 10 when they confirm their participation via the Graduate Commencement Form through the Bauer Graduate Website. Tickets will be available for pick up at the Bauer College of Business Graduate and Professional Programs Office. Candidates must come in person to 330 Melcher Hall, with their student ID in order to receive their tickets. See the “Tickets” page for ticket distribution dates and times.

Step 7: Attend Graduate Commencement – Friday, December 19

Check-In

  • Graduating students are asked to gather in the 1st floor hallway of E. Cullen Building at 6:00 p.m. to assemble and line up for the procession to the Cullen Performance Hall.
  • Check-in tables will be labeled: MBA, EMBA, MS Finance, MS Accounting, Ph.D.
  • Staff will be available to assist the master’s candidates with their hoods.

Walk Cards

  • At the check-in tables, pick up a walk card which lists your name, pronunciation of your name (if you have provided this information), address, the degree you earned, and honors (i.e., Dean’s Award), if applicable.
  • Be sure to check your card carefully and make any necessary corrections. The photographer will send proofs to the address printed on the card. KEEP THIS CARD WITH YOU UNTIL YOU REACH THE STAGE. THE CARD WILL BE USED TO CALL YOUR NAME.
  • Bauer College of Business staff will be available to direct you regarding procedures for the processional, presentation of the graduates and candidates, and recessional. Candidates will line up by degree in alphabetical order.
  • Each graduate will be individually recognized as he or she crosses the stage. Any honors earned by students will be recognized.
  • Ph.D. candidates: since you will be hooded by your Dissertation Chair during the ceremony, Mary Gould will place your hood on the platform.

Diplomas

  • Diplomas are mailed out by the Graduation Office in E. Cullen about three months after graduation. If you can see in PeopleSoft that your degree has been posted but your diploma is overdue, please call the Graduation Office at (713) 743-9352. If your graduation status still says “Pending”, then your degree has not yet been posted.
